Reduce a PDF for upload: check the size limit and preserve readability

An upload limit is about file size, not just page count. Inspect the original, remove unnecessary pages from a working copy and compare compression modes. A particular target size or percentage reduction is not achievable for every PDF.

The right tools

How to get started

  1. 01

Note the limit, current size and required pages. Keep the original. MB and MiB can represent different limits; follow the upload portal’s display and requirements.

  2. 02

Start with Lossless and compare output size. If necessary, evaluate an image mode. It can lose selectable text, search, forms and digital signatures. Remove pages only if the recipient does not need them.

  3. 03

Open the downloaded PDF and check small text, tables, page order and any forms. Check the actual file size. Change format or split the file only if the recipient explicitly accepts that.

A worked example

Reduce a PDF for upload: check the size limit and preserve readability

A 6.4 MB file faces a 5 MB limit. Using the same unit, (6.4 − 5) ÷ 6.4 × 100 = 21.875% reduction is required to reach exactly 5 MB. Leave some headroom. Whether that reduction is achievable depends on its content and existing optimisation.

Frequently asked questions

Why might compression not make my PDF smaller?

Already optimised files can stay the same size or grow when rewritten. Lossless processing cannot shrink existing images without limit. Compare original and output and keep the suitable file.

Does a digital signature remain valid after every change?

No. Rewriting, page edits or image compression can invalidate or remove an existing digital signature. Keep the signed original and check the recipient’s requirements before editing it.

Crop images for Instagram: 1:1, 4:5 and 16:9

Prepare an image with a fixed aspect ratio instead of stretching it. In Change image format, choose a preset, check cropping or fitting and save as JPG, PNG or WebP. Check the platform preview afterwards: a post and its profile-grid thumbnail may display differently.

Extract PDF text or use OCR: choose the right approach

A PDF can contain actual text, scanned images or both. Check whether text is selectable first. Extract existing text directly and use OCR for image pages. This avoids unnecessary recognition and makes output limitations clearer.

Convert PDF files: Word, images and text

Find the right route between PDF, DOCX, images and text. First check whether the PDF contains selectable text or scanned images. That determines whether direct text extraction or OCR is appropriate.
